The full policy

13 short sections, in plain English.

Who we are

Viltiq (“Viltiq”, “we”, “us”) is a technology company based at 46/2573, Sector 46, Gurugram, Haryana 122003, India. We build and run our own software products: Cadence, CareOS and Stitchly. This policy explains how we handle personal data when you visit or use our website, viltiq.com. For the purposes of the Digital Personal Data Protection Act, 2023 (“DPDP Act”), Viltiq is the Data Fiduciary for the personal data described in this policy.

What this policy covers

This policy covers our company website, viltiq.com, including its pages, guides and the demo request form.

  • It does not cover the data inside our products. When a business uses Cadence, CareOS or Stitchly, the data it puts in (for example staff, patient or customer details) belongs to that business. That data is covered by the product’s own terms and privacy policy and by our agreement with the business.
  • Product websites such as cadence.viltiq.com, careos.viltiq.com and stitchly.viltiq.com may have their own privacy policies, which apply when you use them.

What data we collect

Data you give us. When you fill in the demo form or email us, we collect what you share:

  • Your name and email address
  • Your mobile number (optional)
  • Your business name and city (optional)
  • The product you are interested in, and your message

Data collected automatically. Like most websites, our server keeps basic technical logs: your IP address, browser and device type, the pages you visit and the time of your visit. We use these only to run the website, fix problems and protect it from misuse.

Cookies and browser storage

We do not use advertising cookies or cross-site tracking. The website saves one small setting in your browser: whether you chose the light or dark theme. This stays on your device and is not sent to us. If we add website analytics in the future, we will update this policy first and, where the law requires, ask for your consent.

Why we use your data

  • To reply to your enquiry and arrange a demo
  • To tell you about the product you asked about, and follow up on your request
  • To keep the website secure and working properly
  • To meet our legal obligations

We process the data you send us on the basis of your consent, which you give when you submit the form or email us. You can withdraw your consent at any time (see “Your rights” below). We will not send you marketing messages unless you ask for them, and every marketing email will include a way to stop.

Who we share it with

We never sell your personal data. We share it only with service providers who help us run the website and reply to you, and only as much as they need:

  • Email services that receive and deliver our emails, including demo form messages (for example, Zoho Mail).
  • Hosting: our website runs on servers we manage.

These providers may only use your data to provide their service to us. We may also share data if the law requires it, for example in response to a valid request from a government authority or court.

How long we keep it

We keep enquiry details for as long as needed to respond and follow up, and for up to 24 months after our last conversation, unless you become a customer or ask us to delete them sooner. Server logs are kept for a short period, normally no longer than 90 days, unless needed to investigate a security issue. After that, we delete the data or make it anonymous.

How we protect it

We use reasonable security measures to protect your data, including secure (HTTPS) connections, limited access for our team, and keeping our systems up to date. No system on the internet is completely secure, but we work to protect your data and will act quickly if anything goes wrong, including informing you and the authorities where the law requires.

Your rights

Under the DPDP Act, you have the right to:

  • Ask what personal data we hold about you and how we use it
  • Ask us to correct, complete or update your data
  • Ask us to delete your data
  • Withdraw your consent at any time. This will not affect anything we did before you withdrew it.
  • Have a complaint about your data handled by us
  • Nominate another person to use these rights for you if you are unable to

To use any of these rights, write to hello@viltiq.com. We will reply within a reasonable time, normally within 30 days.

Complaints

If you have a concern about how we handle your personal data, please write to our Grievance Officer at hello@viltiq.com with the subject “Privacy”, or by post to 46/2573, Sector 46, Gurugram, Haryana 122003, India. We will acknowledge your complaint and try to resolve it within 30 days. If you are not satisfied with our response, you may complain to the Data Protection Board of India.

Children

Our website is made for businesses. It is not meant for children under 18, and we do not knowingly collect their personal data through it. If you believe a child has shared personal data with us, please contact us and we will delete it.

Where your data is stored

We store and process website data in India where possible. Some service providers may process data outside India. When that happens, we only use providers that protect your data properly, and only in countries where the law allows it.

Changes to this policy

We may update this policy from time to time. When we do, we will change the “Last updated” date at the top. If a change is important, we will also make it clear on the website.
